Case Studies

Automation case studies, from local businesses to industry leaders

Automation and marketing projects our team built for named clients across industries: industrial manufacturers, healthcare and insurance document processing, immigration services, clinics, contractors and local businesses. Each card covers the challenge, the solution and what changed. Client names and logos appear with the client's permission; a few projects stay confidential and are described by sector.

01Use cases

Automation case studies across multiple directions

We work with organizations of every size, from small local businesses to large corporations. Our clients include insurance companies and services for which we process medical documents containing personal data under government-regulated security protocols, businesses that work with government and the Ministry of Defence, and large industrial companies that manufacture and sell equipment for testing metals and other materials. Alongside them are small local firms in medicine, services and construction. The cards below are loaded from our client database; filter them by the service we delivered.

NextGen Material Testing

Industrial manufacturing: metal and materials testing equipment (universal testing machines, hardness, impact, abrasion testers) for laboratories, manufacturers, defense and government suppliers across North America

Challenge
A global equipment manufacturer with two brands, a main site and an online shop needed steady inbound demand, a working lead and case flow into Salesforce, and a clear picture of what paid traffic actually cost per lead. Ads, site forms, CRM and reporting lived in separate systems.
Solution
Full marketing operations for the brand: Google Ads and ChatGPT Ads campaigns, WordPress site and shop maintenance, Contact Form 7 to Salesforce Web-to-Case integration, technical SEO and content, Cloudflare security and performance, plus an automated weekly marketing report (GA4, Search Console, Salesforce leads, ad spend) delivered every Monday in English and Russian.
Outcome
Leads, contracts and ad spend for both brands are tracked month by month in one shared table with a 35-month history. Weekly reports arrive without manual work, budgets and CPC ceilings are adjusted from data, and the site is protected by WAF and bot rules.

TensileMill CNC

Industrial manufacturing: CNC machines for tensile specimen preparation (flat and round), sister brand of NextGen Material Testing

Challenge
The brand sells specialised machines to a narrow B2B audience. It needed a modern product site with manuals, FAQs, 3D models and an ROI calculator, consistent SEO content, and paid campaigns that bring qualified requests without overspending.
Solution
New WordPress site with product pages, operation manuals, setup and maintenance FAQs, 3D models and a ROI calculator rebuilt to the client's logic; Google Ads management with budget scripts; ChatGPT Ads pilot; SEO and link-building articles; an AI voice agent (ElevenLabs) that answers calls, hands off to the website and sends lead SMS via Twilio; weekly joint TM+NGT marketing report.
Outcome
A complete product and support site, a predictable flow of inbound requests tracked in Salesforce, and a weekly report that ties ad spend to leads for both brands.

100K Kidneys / Saving Kidneys (CHEP+)

Healthcare non-profit: diabetic nephropathy prevention and screening program (C-CHANGE Education Program)

Challenge
The program needed awareness campaigns that reach at-risk patients and primary-care providers, and it had to show its board and funders where every advertising dollar went. Results sat in separate GA4, Search Console and Meta accounts.
Solution
WordPress site support, Meta (Facebook and Instagram) campaigns, GA4 and conversion tracking, and an automated weekly bilingual (EN/RU) performance report that combines GA4, Search Console and Meta ad spend with cost per result into one IN-STORE branded PDF, delivered as Gmail drafts.
Outcome
Campaign decisions come from one weekly view instead of three dashboards. The team explains spend and results to funders with far less preparation, and the monthly retainer covers site, ads and reporting together.

Drop & Sort (W5 Processing)

Document processing for healthcare, insurance and legal: automated sorting and classification of multi-document PDFs, optical character recognition (OCR) and data extraction from IME and medical records and insurance claims

Challenge
Faxed medical documents and long claims packages arrived in volume and were sorted and typed by hand. The company needed a secure batch-processing system with duplicate controls, rush priorities, QA workflow and an operations dashboard, handling personal health information under regulated security requirements.
Solution
Design and ongoing development of the processing platform: intelligent document classification, OCR and summary extraction, submission identity and duplicate-submission controls, configurable rush acceleration, post-QA summary workflow, batch and date-range reporting, Ubuntu server health monitoring, archive safeguards and repair tools; plus website marketing copy and competitive analysis.
Outcome
Operators check and correct data instead of typing it. Submitted versus analysed batches are visible in one dashboard, rush jobs are prioritised automatically and every step is logged for audit.

Abroad Mobility

Immigration and investment migration: B2B back-office partner for immigration lawyers and consultants

Challenge
The company needed a steady flow of accurate articles about immigration programs, a master database of program cards and FAQs that stays correct as rules change, and weekly visibility of traffic and leads. Researching, writing, checking and publishing by hand used up expert time.
Solution
Automated content engine: topic discovery, AI drafts, expert approval in Google Sheets and publishing to WordPress; Google Sheet to WordPress sync (Apps Script) for 100+ program cards and FAQs; a weekly AI audit that re-verifies every program against official sources and applies confirmed corrections; brand system and leaflets; weekly bilingual marketing and SEO reports (GSC, GA4, Bitrix24 leads); Cloudflare security and uptime monitoring.
Outcome
Publishing runs on a schedule, experts approve instead of writing, program data is corrected weekly with an undo trail, and leadership reads one weekly report in the language they prefer.

Canada Regional Business Immigration (CanadaRBI)

Immigration services: execution partner for immigration lawyers and RCICs on regional business immigration programs

Challenge
The site carried outdated and in places inaccurate program claims, loaded slowly (TTFB 2-6 s), had no 2FA and several unmaintained plugins. The client wanted a trustworthy partner-facing site and a gated resource library for RCICs.
Solution
Security audit and remediation (Wordfence, 2FA, XML-RPC, plugin updates), speed fixes, correction of 41 client-flagged content items across pages and blog posts, brand guide derived from the live site, a 17-page RCIC Marketing Playbook and a gated download page with email confirmation and Bitrix24 CRM contact creation.
Outcome
A clean, accurate and faster partner site with a lead-capturing resource library; all work booked and documented for the client's own sysadmin to continue.

Medical aesthetics clinic (Toronto and Vaughan): injectables, skin treatments, Ultraformer MPT

Challenge
A busy clinic ran on an aging Elementor site hosted with a third party, with no analytics on bookings made through Fresha and a content calendar that depended on the owner's free time.
Solution
Migration to Hostinger behind our Cloudflare zone with WAF and 2FA; site rebuilt on GeneratePress with a custom design system (no Elementor); GA4 and GTM conversion events (booking clicks, calls, forms) plus Meta pixel events; automated content pipeline (digest builder, idea researcher, writer, publish notices) on Make and the STOREKEEPER platform.
Outcome
A faster, secure site the clinic owns, booking and call conversions visible in GA4 and Meta, and a content stream that runs with light approval instead of manual writing.

What these projects have in common

The sectors differ, but the pattern is the same. Each project took away a manual step and gave leaders a clearer view. In every one, a person on our team or theirs stays in charge of the decisions. Software does the repetitive part, and experienced people check the result.

CaptureA document, call, topic or number comes in.
Capture, prepare, approve, act and report, then repeat.
Illustration of a looping automation workflow with a human approval step, the pattern shared by our case studies

A person approves what matters

Editor approval, document review and call routing all keep a person at the decision point. Automation prepares the work, and people sign off.

Data ends up in one place

Content status lives in one shared sheet, ad results in one weekly report, call notes with the right staff member. Nobody hunts across tools.

Built on systems already in use

WordPress, Google Sheets, GA4, Meta, phone lines and existing intake steps. We connect to what you have rather than replacing it.

Runs on a schedule

Reports arrive weekly, content goes out on a calendar and calls are answered day and night, without anyone having to remember.

FAQQuestions buyers ask

Frequently asked questions

Can we see who your clients are?

Yes. The cards on this page name the clients who agreed to be named, with their logo and website. A few projects stay confidential, usually in health, insurance or government work, and those are described by sector only. If you want to hear from a client directly, use the reference letter button on a card: we check each request by hand and send the letter by email.

Why are there no percentages or ROI figures on these cards?

Because we won't publish numbers we can't show you the source for. Results depend a lot on volumes, systems and starting point, and headline percentages rarely carry over from one company to another. We share detailed numbers on request, under NDA where the client asks for one. Our readiness assessment also builds a return estimate from your own data, not borrowed claims.

Can you build something similar for our company?

Most of these solutions are now part of our ready-made range, which is why we can set them up in days rather than months. We fit each one to your systems, approval rules and compliance needs. A short discovery call with our team is usually enough to tell whether one of these patterns fits your situation.

Do you only work in the sectors shown here?

No. These are recent examples, not limits. The same patterns, like document reading with human review, automatic reports, lead screening and voice assistants, work across busy operations-heavy sectors. That includes distribution, financial services, legal, the public sector and B2B services in Canada and the United States.

How were sensitive documents handled in the medical and insurance project?

The process was designed around access control, human review and logging. Only approved reviewers see the data, every field is checked before it's accepted, and each action is recorded for audits. We apply PHIPA, HIPAA and PIPEDA-aware practices to projects like this, and Canadian processing and storage are available on request, subject to scoping.
