Five AI roles, one tender pipeline

Each role is trained for one job in the tender process. They hand work to each other like a bid team does, and you step in at one point only: to say yes or no to a tender. People on our team watch the whole pipeline and check every package before it reaches you.

  1. Robot 1 of 5

    Tender Scout

    24/7

Searches newly published tenders every day, using the criteria you set.

    • Watches CanadaBuys, MERX, SAM.gov and the provincial, state and city portals you choose
    • Filters by your industry, region, contract size and category codes
    • Passes every new match to the Tender Detective the same day
    Why it is faster
It reads every new notice on every portal, not only the ones a person has time to open.
    How much it handles
Thousands of notices a day across all your portals
    How fast
New tenders found within hours of publication
  2. Robot 2 of 5

    Tender Detective

    24/7

Builds a complete file on every tender that passes the first filter.

    • Pulls out requirements, terms, deadlines, site visits and bid bond dates
    • Reads every addendum and question-and-answer update as it is published
    • Finds the buyer, the decision makers and their contacts from public sources
    • Notes past awards and who won similar contracts
    Why it is faster
It reads the whole tender package and every addendum in minutes.
    How much it handles
Every document in the package, no page skipped
    How fast
A full tender file in under an hour
  3. Robot 3 of 5

    Tender Validator

    24/7

Compares what the buyer asks for with what your company can really deliver.

    • Checks certifications, experience, staff and capacity against each requirement
    • Flags hard stops early: a missing licence, bond or insurance
    • Scores fit, contract value and the chance of winning
    • Gives a clear bid or no-bid recommendation, with the reasons
    Why it is faster
It scores every tender the same way, with no gut feel and no backlog.
    How much it handles
Every tender in your file, scored on one model
    How fast
    Bid or no-bid in minutes
  4. Robot 4 of 5

    Tender Advisor

    On every match

Brings you the tenders worth your time and waits for your decision.

    • Sends you a short summary of each recommended tender
    • Shows your options and what each one would take from your team
    • Waits for your go or no-go before any preparation starts
    • Keeps declined tenders on record for next time
    Why it is faster
You decide from a one-page summary instead of a 200-page tender package.
    How much it handles
All recommended tenders in one place
    How fast
Your decision takes minutes, not days
  5. Robot 5 of 5

    Tender Manager

    Per approved tender

Prepares the bid package for every tender you approve.

    • Prepares every required document and form, following the buyer's rules
    • Builds answers from your company profile, past projects and your pricing input
    • Checks the package against the full requirements list before you review it
    • Submits the bid for you after your written approval, or hands the package to your team
    Why it is faster
It starts from your approved content and the requirements list, never from a blank page.
    How much it handles
    Several bid packages in parallel
    How fast
A full first package in days, not weeks
02The challenge

Why bid teams invest in RFP automation

Government and big-company buyers reward teams that answer more of the right bids, completely and by the rules. Without RFP automation, most of a bid team's week goes to searching, reading and reformatting.

Good bids slip past unnoticed

Tenders are spread across federal, provincial, state and city portals, each with its own search and alerts. Someone checks them when they have time. A good one turns up with four days left.

Too much time on the wrong bids

Without a clear bid or no-bid process, teams chase long shots and run out of time for the ones they could win. The call often depends on who reads the notice first.

Every response starts from a blank page

Requirements hide in 80-page documents and addenda. Writers copy old answers from shared drives and miss a required item. Then the bid is thrown out on a technicality, not on merit.

All noticesEvery tender posted on your target portals.
Automatic watching and scoring narrow hundreds of notices to the bids worth your time.
03What you get

What you get with RFP automation

We build the whole bid process around your team, your content and your approval rules. You stay fully in control of what gets submitted.

TenderRFP, RFQ or RFI documents plus addenda.
Drafts use only approved content, and every answer links back to its source.

Bid alerts across Canada and the US

Daily scans of CanadaBuys, MERX, provincial portals like the Ontario Tenders Portal and BC Bid, SAM.gov, and the state and city portals you sell into. Filtered by your category codes, keywords, regions and contract values.

  • Federal, provincial and municipal sources in Canada
  • SAM.gov plus state and local portals in the US
  • Alerts when addenda come out

Bid or no-bid scoring

Each bid is scored on rules you set: fit with your services, required certifications, size, location, timing and capacity. A short summary lands in Slack, Teams or email so leaders can decide in minutes.

A requirements checklist

We turn the tender and every addendum into one checklist, often called a compliance matrix. It lists must-haves, scored items, page limits, forms and how to submit, each linked to where it came from.

First draft from your approved answers

We sort your past proposals, standard text, project stories, resumes and certifications into one approved library. AI builds a first draft for each requirement from that library only, with sources for reviewers.

Review steps

Sections go to your experts with due dates, and comments and approvals are tracked in one place. The people responsible for price and legal terms give the final sign-off.

Deadline tracking

Question periods, site visits, internal reviews and the submission deadline are tracked for you. Reminders get louder as the date gets closer.

04Outcomes

What changes for your bid team

Automation doesn't write your winning strategy. It clears away the hours of searching and copying that stand between your team and a strong bid.

See more of the right bids

Daily filtered alerts from every portal that matters. You find tenders early, with time to ask questions and plan a real response.

Decide faster, and the same way every time

One shared scoring model replaces gut feel. Your time goes to the bids you're most likely to win.

Fewer missed requirements

A complete checklist tied to the source makes it much harder to miss a required form, page limit or certification.

Writers start from a draft

Reviewers edit a structured first draft built from your best approved answers, instead of digging through old files.

Searching portalsReplaced by filtered daily alerts.
Time moves from searching and copying to strategy, pricing and review.
05How it works

How we set it up

We start with the portals and content you already have. The first alerts usually arrive before the drafting part is finished.

List sourcesPortals, codes, regions and who approves.
Alerts pay off first. Drafting follows once your answer library is ready.
  1. List your sources

We list your target portals, category codes, regions and contract sizes. We also read a few recent bids to learn your format and who approves what.

  2. Alerts and scoring go live

Portal alerts and bid or no-bid summaries go live first. You see results while we build the rest.

  3. Build your answer library

We gather, clean and tag your approved proposal content. Each piece gets an owner and a review date, and old material goes.

  4. Set up drafting and review

We set up the checklist, the drafts and the review steps. Then we test them on a recent tender, side by side with your team.

  5. Support on live bids

A senior member of our team supports your first live responses. We tune the scoring and drafts and keep the library current as you win and lose.

06Use cases

Who uses it

Any organization that answers formal tenders regularly can benefit, from a few bids a quarter to several a week.

IT and professional services firms

Firms bidding on federal and provincial standing offers see every relevant notice. They reuse resumes and project stories from bid to bid.

Bid watcherDaily scans, filters and alerts in one place.
One tool watches every source that matters to your market.
07Integrations

Fits into your existing tools

Your team keeps working in the tools it knows. We connect them instead of replacing them.

Documents and storage

Microsoft 365, SharePoint, Google Workspace and Google Drive for tenders, drafts and your answer library.

Team chat

Microsoft Teams, Slack and email for bid summaries, assignments and deadline reminders.

CRM and pipeline

HubSpot, Salesforce, Pipedrive or Bitrix24, so every bid you chase shows up as a deal in your pipeline.

Automation and AI

Make, n8n and custom Node.js or Python code, with AI set up to use only your approved content.

Bid processWatching, scoring, checklists and drafting.
The bid process links your portals, documents, team chat and CRM.
08Security and compliance

Content control and confidentiality

Proposals contain pricing, staff details and client information. We treat your answer library as confidential business data, and we collect information about buyers and decision makers from public sources only. A person stays responsible for every word you submit.

Approved content only

Drafts use only content your team has approved, with owners and review dates. Old claims and expired certifications don't get reused by accident.

Nothing is submitted without your approval

You approve the final package in writing first. Then we submit it on the portal under your authorization, or hand it to your team to submit. You stay the bidder and keep the final say.

Confidential handling

Your library and drafts stay in your storage or a dedicated environment, access is role-based, and AI services are configured so your content is not used to train public models.

IN-STORE is not SOC 2 audited; we document controls mapped to SOC 2 criteria for your vendor review.

Approve contentOwners approve answers, project stories and resumes.
Content is approved, used, updated after each bid and approved again, so the library stays current.

FAQQuestions buyers ask

Frequently asked questions

Can you submit the bid for us?

Yes, if you want us to. Once you have checked and approved the final package in writing, our Tender Manager submits it on the portal under your account and your authorization. You stay the bidder and remain responsible for the content and price of the bid. If you prefer, we hand the finished package to your team to submit.

How do you find decision makers and contacts?

Only from public sources: the tender notice, the buyer's website, public registries and published contract awards. We use this information only to prepare your bid, and we never contact a buyer for you without your written instruction.

Which tender portals can you monitor?

In Canada we usually cover CanadaBuys, MERX, provincial portals like the Ontario Tenders Portal and BC Bid, and city bid sites. In the US we cover SAM.gov plus the state and local portals that matter to your market. During scoping we confirm each source, how it posts notices and whether it needs your own login.

Will AI write our proposals for us?

It writes a first draft, not the final response. The draft uses only content your team has approved, with a source for each answer. Your experts edit, your leaders approve and your bid lead decides what's submitted. Winning themes, pricing strategy and final judgment stay with your people.

Is our proposal content kept confidential?

Yes. Your answer library and drafts are stored in your own Microsoft 365 or Google Workspace, or in a dedicated environment we manage for you. Access is role-based, and AI services are configured so your content is not used to train public models. We can sign an NDA before you share any material.

We only bid a few times a quarter. Is this worth it?

It can be, especially if those bids are large or you're missing good ones today. Alerts and bid or no-bid scoring help even small teams find the right tenders sooner. If drafting doesn't make sense yet, we can start with alerts and the requirements checklist. Then we add drafting as your volume grows.

Does this work for security questionnaires and private-sector RFIs?

Yes. Private-sector RFPs, RFIs and security questionnaires work the same way. We pull out the questions, match them to approved answers and send any gaps to the right expert. Many vendors find this is where reuse pays off fastest, because the same questions come up from many buyers in slightly different words.
