01The challenge

Why sales teams turn to lead generation automation

Most sales teams don't lack leads. They lose them to slow follow-up, messy data and reps doing research a system could do. Lead generation automation removes those delays without hiring more junior reps.

Leads wait hours for a first reply

A demo request lands at 4:45 p.m. and sits in a shared inbox until morning. By then the buyer has booked calls with two competitors. Industry research commonly finds that reply speed is one of the strongest signs of whether a lead ever buys.

Reps spend their day on research and data entry

Your sellers look up job titles on LinkedIn, copy emails into the CRM and build lists by hand. That's expensive time on work a workflow can do overnight. It's also the first thing to slip when targets loom.

Your CRM doesn't match reality

Duplicate contacts, old deal stages and missing owners turn every forecast into a guess. Leaders stop trusting the dashboard, so managers rebuild reports in spreadsheets every Monday.

02What you get

What you get with lead generation automation

We design, build and run the whole lead process around the CRM you already have. Each part works on its own. Together they take a lead from the first sign of interest to a booked meeting.

Lead sourcesForms, chat, calls, ads, events and bought lists.
Each step hands clean data to the next, and your CRM keeps the official record.

Finding prospects and filling in details

We build lists from data providers, website visits, event lists and the deals you've already won. Each record gets checked contact details before a rep sees it.

  • Filters by company size, sector and tools
  • Emails checked before import
  • No duplicates in your CRM

Ideal customer profile and lead scoring

A scoring model we build with your sales leaders. It looks at fit (industry, size, region, tools) and interest (pages viewed, forms sent, replies). You can read and change every rule.

Fast lead routing

New leads from forms, chat, phone and ads are matched to the right company and owner. The rep gets a Slack, Teams or text alert within minutes.

  • Territory, segment and key-account rules
  • Escalation if nobody responds
  • After-hours coverage

Outreach that follows the rules

Email and task sequences that respect CASL and CAN-SPAM. We track consent and source, show who's sending, and sync unsubscribes back to your CRM.

Meeting booking

Ready leads get a booking link tied to the right rep's live calendar. Reminders go out, and the CRM updates itself when a meeting is set, moved or missed.

A clean CRM and sales reports

Scheduled jobs merge duplicates and flag stale deals and missing fields. Sales leaders get a weekly pipeline report without anyone exporting a spreadsheet.

03Outcomes

What changes for your sales team

The goal is simple. Your reps spend more time talking to buyers, and your leaders get a pipeline they can trust.

Faster first reply

New leads reach an owner in minutes, not hours, evenings and weekends included. You're first in the conversation more often.

More selling time per rep

Research, list building and CRM updates happen in the background. Teams commonly get back several hours per rep each week for calls and demos.

A forecast you can stand behind

Clean stages, owners and next steps mean your Monday pipeline review starts from real numbers, not a rebuilt spreadsheet.

Grow without hiring more reps

Automation soaks up the extra leads from campaigns and trade shows. You can grow pipeline before you grow payroll.

04How it works

How we roll it out

Most rollouts go from first call to a working process in a few days. We start with the lead source that's worth the most to you.

ScopeCheck CRM, lead sources and reply times.
Each step ends with a sign-off. Nothing goes live without your sales leaders saying yes.
  1. Scoping call and data check

Our Head of Business Development and a solutions lead meet your sales leaders. We look at your CRM, lead sources, territories and reply times, and pick the one or two processes that matter most.

  2. Design the rules

With your sales leaders we write down your ideal customer, the scoring rules, who gets which lead and what happens if nobody responds. Nothing is built before you agree.

  3. Build and test safely

We build the workflows in Make, n8n or your CRM's own tools. We test them on real past leads and fix the odd cases before launch.

  4. Go live and train your team

We switch on one lead source at a time and train reps and managers. Our team watches every run closely in the first weeks.

  5. Check and tune every month

Each month we review reply times, sales by score and data quality with you. Then we adjust the rules and sequences.

Where teams use it

The same building blocks fit very different ways of selling.

Demo requests

A B2B software company routes demo requests by region and deal size. The owner gets a text alert, and the buyer gets a booking link within minutes.

06Integrations

Works with your CRM and sales tools

We build on the tools your team already uses. Reps have no new system to learn, and your data stays in your CRM.

CRM platforms

HubSpot, Salesforce, Pipedrive and Bitrix24, including custom fields, territories and assignment rules.

Data providers

Common B2B data providers, email checking services and your own website and product analytics.

Messaging

Gmail and Outlook, Slack and Microsoft Teams alerts, plus text and calling tools for instant notice.

Scheduling and workflows

Calendar booking tools, and Make and n8n to move data between systems, with custom code where needed.

CRMHubSpot, Salesforce, Pipedrive or Bitrix24 keeps the official record.
The CRM sits in the middle. Every other tool reads from it or writes to it.

08Security and compliance

Built for CASL, CAN-SPAM and PIPEDA

Email rules differ between Canada and the US, and Canada's anti-spam law is stricter than many teams expect. So we build consent checks into the workflow instead of leaving it to each rep. This is practical guidance, not legal advice, and we work with your lawyer on the final policies.

Consent and source tracking

Each contact record shows how and when it entered your database and what kind of consent applies. Canadian contacts are only emailed when there's a valid reason.

Unsubscribes that actually sync

Opt-outs from any tool are written back to the CRM and blocked everywhere, well within the time limits set by CASL and CAN-SPAM.

Careful with personal data

We collect personal information for a clear purpose, keep it in your systems and limit it to what sales needs, in line with PIPEDA principles.

IN-STORE is not SOC 2 audited; we document controls mapped to SOC 2 criteria for your vendor review.

New contactArrives from a form, event or list.
No contact gets an email until the workflow confirms there's a valid reason to send it.
FAQQuestions buyers ask

Frequently asked questions

Do we need to switch CRMs to use your lead generation automation?

No. We build on the CRM you already use, whether that's HubSpot, Salesforce, Pipedrive or Bitrix24. If your CRM is heavily customized, we map your fields and assignment rules during scoping. We only suggest a change if your setup truly blocks something you need, and we explain the trade-offs before you decide.

Is automated outbound email legal in Canada under CASL?

It can be, when you have a valid reason for each message. CASL generally requires express or implied consent, a clear sender and a working unsubscribe. Our workflows track the consent type and source for every contact. Canadian contacts stay out of email sequences when there's no valid reason. Your lawyer should confirm the final policies.

How long does it take to go live?

Most teams have their first process live within a few days of the scoping call. That's usually fast routing for new leads. Outreach and pipeline reports follow in later phases. The exact timing depends on how complex your CRM is, how clean your data is and how fast your team can approve the routing rules we write together.

Who owns the data and the workflows you build?

You do. Contact data stays in your CRM and your own accounts with data providers. The workflows run in accounts registered to your company, or in ours with full export on request. If you ever decide to move the work in-house, we hand over documentation so your team can maintain everything without us.

Will this replace our SDRs?

It changes what they spend time on rather than replacing them. Automation handles research, filling in details, data entry and routing. Your junior reps and account executives spend more of the week in real conversations. Most teams use the extra time to cover more accounts or reply faster, not to cut jobs.
